Ecommerce sellers often use “sourcing” and “procurement” as if they mean the same thing. In a small business the same person may perform both jobs, but separating them helps you understand what you are paying for.
Product sourcing is the search and evaluation stage
Sourcing begins with a product requirement and ends when you have a sufficiently clear supplier and product option to move forward. The work may include identifying suppliers, comparing quotations, checking MOQ, clarifying materials or specifications, reviewing customization options and arranging samples.
The output should not just be a list of factory names. It should help you see the trade-offs between the realistic options.
Procurement begins when a purchase needs to happen
Procurement coordinates the commercial execution: confirming the approved specification, placing or managing the order, supplier communication, payment-related milestones, production follow-up, packaging instructions, inspection arrangements and shipment handoff.
If you already have a trusted supplier and an approved product, you may need procurement without paying for a new sourcing exercise.
Where quality control fits
Quality control is not automatically the same as either sourcing or procurement. It can be part of the procurement plan, but the exact check should be agreed. A visual pre-shipment inspection is different from laboratory testing, certification or a full technical audit.
Where fulfillment fits
Fulfillment starts after inventory is available for orders. It covers receiving, storage, pick-and-pack, order data, labels, tracking and shipment handoff. A seller can therefore use sourcing, procurement and fulfillment as one connected workflow or as separate services.
If you are still asking “Which supplier or version should I choose?” you are in sourcing. If you are asking “Can someone manage the order I already decided to place?” you are in procurement.
Why this distinction matters for fees
A seller should not pay for a full sourcing project every time a repeat purchase is placed. Once the supplier and product are stable, repeat procurement can be scoped around the actual coordination work. Likewise, a complex new product may need more sourcing work before any purchase makes sense.

Quick answers
Questions sellers often ask
Can sourcing and procurement be combined?
Yes. A project can move from supplier research and samples into purchasing, production follow-up and shipment handoff.
Do repeat orders need sourcing again?
Usually not if the product, supplier and specification remain stable. The work is closer to procurement.
Is quality inspection included automatically?
Not necessarily. The inspection method and scope should be agreed because visual QC, functional testing and laboratory testing are different services.
